Dojo Award Order Timeline Planner
The timeline planner takes one arrival date and four weekday allowances, for receiving, transit, production and proof reading, and hands back a start date per stage. Dojo Award Studio suggests using it to split the work: rank wording that can be settled before the grading, and the pass list that cannot. Nothing it prints is a reserved slot.
Build your plan
Work backwards from arrival using your entered stage durations. Weekends are skipped; holidays and closures require extra allowance. Dates describe a plan, not reserved production capacity.
The decision behind a martial arts division award order
Placement awards, rank recognition and instructor appreciation need different wording. A division name should be understood by the recipient after the event, including the approved discipline and level where needed. Confirm medal sets and presentation plaques as separate quantities.
Keep with your brief: Discipline, division, placement and approved rank wording.

Begin proof review = required arrival minus all entered stage allowances, counting weekdays only
Use the first date as a prompt to have a complete brief and an available approver. It is not a reason to start irreversible work with missing measurements. If the dates are impractical, discuss a simpler format, a different presentation plan or revised timing before authorizing the order.
How does a traveling head instructor change the plan?
An aikido school plans its summer grading around a visiting examiner. Only the head instructor may approve rank wording, and she will be away teaching a seminar for part of that month. The office manager enters the arrival date and the stage allowances from the quote. Four dates come back. The earliest one, when proof reading has to begin, lands in the middle of her trip. Now the choice is clear. Either the proof for the Belt Rank Plaque order goes out before she leaves, or the school asks Dojo Award Studio about rush production. They move the proof earlier and send the candidate list at once, with results to be confirmed after the grading.
Check these details before using the result
- No single approver for rank wording
- Name the person who signs off rank terms and check they are reachable on the proof review dates the planner returns.
- Treating the visiting examiner's date as flexible
- A guest examiner's travel fixes the grading date. Build the plan back from it, and add allowance instead of assuming the event can move.
- Reading planned dates as confirmed
- The planner holds no production capacity. Only the written quote identifies when production starts for your order.

Belt Rank Plaque
Use the exact rank terminology your school awards. A promotion plaque records an achievement; if you want to display a physical belt as well, specify its folded dimensions and request a holder in the design.

Martial Arts Tournament Trophy
Separate forms, sparring and other categories exactly as your event lists them. Include the age or rank division when it distinguishes the result, and avoid combining several placements into one ambiguous title.

Black Belt Achievement Plaque
Confirm the rank notation with the instructor and retain the school's spelling of the discipline. Choose a brief dedication that reflects the student's work rather than adding credentials or affiliations that are not part of the award.

Dojo Recognition & Instructor Plaque
Choose who is presenting the gift: one class, the teaching team or the wider dojo. A specific line about patience, mentorship or commitment makes the plaque more personal than a list of class times or titles.

Why would a dojo use this planner instead of the arrival estimator?
They share inputs and arithmetic. The arrival estimator is for one question: the latest dispatch date. The timeline planner is for assigning jobs. It gives the school a date for each stage, so someone owns the proof, someone receives the box and the head instructor knows when rank wording is due.
Can the plan cover a pass list confirmed after the grading?
Run the planner twice. The first run ends before the grading and covers layout, crest and rank wording for every candidate. The second starts when results are final and ends at the belt ceremony. Share both with Dojo Award Studio so the quote reflects a proof approved in two parts.
